Manage your subscription
Upgrade, downgrade, switch between monthly and annual billing, adjust your seats, and understand when changes take effect, all from Settings > Billing.
What you'll learn
- Change your plan and know exactly when it takes effect
- Switch between monthly and annual billing
- Add or reduce seats on your current plan
Subscription changes on VEXORS are self-serve. You do not need to contact support to upgrade, downgrade, add seats, or switch billing cycles. Everything lives in Settings under the Billing tab, and the screen shows you exactly what will change and what you will pay before you confirm.
Why this matters
Understanding when a change takes effect matters because upgrades and downgrades behave differently. Upgrades apply immediately and your new features are available right away. Downgrades are typically scheduled: you keep your current plan and features until the end of the billing period, then the lower plan activates. Knowing this prevents the confusion of expecting a feature to disappear on the day you downgrade.
How to open the plan management screen
Go to Settings in the sidebar and select Billing. The page shows your current plan, usage, seat count, AI credit balance, and billing history. To change your plan, find your current plan card and select Manage Plan, or select Upgrade on a higher tier card.
Only Admins can make billing changes. If you are a Member and cannot see the Billing section, ask an Admin on your team.
Upgrading your plan
Open Manage Plan
Select Manage Plan on your current plan card, or select Upgrade to Scale directly on the Scale card. A dialog opens showing the new plan and the charge that applies.
Choose your billing cycle
The dialog lets you pick Monthly or Annual billing. Annual billing charges a per-seat monthly equivalent and bills the year upfront. The annual rate is lower than the monthly rate. The dialog shows the price difference so you can compare before confirming.
Introductory pricing, when available, is shown as the first-year rate with the renewal rate below it.
Review the change and confirm
The confirmation screen summarises what you are moving to, the amount that will be charged today (prorated if you are mid-cycle), and the next renewal date. Once you confirm, the upgrade applies immediately and your new features and limits are live.
Downgrading your plan
Select the lower plan card and choose Switch to Grow or Switch to Explore. A dialog shows which features you will lose and whether any of your current data or records are affected. Review the impact, then confirm.
When does it take effect? Downgrades are scheduled to activate at your next renewal date. Until then, you keep your current plan and all its features. The Billing page shows a pending change note with the target plan and the effective date. You can cancel a pending downgrade from that same note if you change your mind.
Downgrade impact summary
The dialog lists every feature that will become unavailable and any usage limit reductions. If you have more active records (requests, team members, catalog items) than the lower plan allows, those are not deleted automatically. You will need to bring them within limits before the downgrade takes effect, or the system will restrict new activity at the cap.
Switching between monthly and annual billing
You can switch your billing cycle without changing your plan tier. Open Manage Plan on your current plan card. The monthly / annual toggle at the top of the dialog lets you switch cycles. Switching from monthly to annual activates at your next renewal. Switching from annual to monthly is also scheduled for renewal.
Managing seats
Your plan includes a base number of seats. On paid plans you can purchase additional seats above the base count.
Open Settings > Billing and find the Seat Usage card. Select Manage Subscription to open the seat adjustment dialog. Use the plus and minus controls to set the number of seats you want, then confirm.
Adding seats charges a prorated amount for the remainder of your current billing period and the new seats are available immediately. Reducing seats is scheduled to take effect at your next renewal. You keep your full seat count until then.
| What you want to do | When it takes effect | Where to find it |
|---|---|---|
| Upgrade to a higher plan | Immediately | Settings > Billing > Upgrade card |
| Downgrade to a lower plan | At next renewal date | Settings > Billing > Switch plan |
| Switch monthly to annual | At next renewal date | Settings > Billing > Manage Plan |
| Add seats | Immediately (prorated charge) | Settings > Billing > Seat Usage > Manage Subscription |
| Reduce seats | At next renewal date | Settings > Billing > Seat Usage > Manage Subscription |
Cancelling a pending change
If you scheduled a downgrade or seat reduction and changed your mind, go to Settings > Billing. The pending change appears as a notice near the top. Select Keep current plan to cancel it. The scheduled change is removed and your plan renews normally.
