Team members and roles

Invite colleagues by email, understand what Admins and Members can each do, set platform access, and manage your seat count.

Working with colleagues on VEXORS means inviting them to your company account rather than sharing login credentials. Each person gets their own account with their own role, and you control what they can see and do. You manage your team from Settings under Users.

Why this matters

Separate accounts for each person creates an accurate activity trail. You can see who published a request, who submitted a bid, and who made an approval decision. Shared logins make that impossible and remove the audit protection that procurement governance depends on.

Inviting a team member

  1. Open Settings > Users and invite

    Go to Settings > Users and select Invite Member. Enter the colleague's email address, choose a role, and set their platform access. Then send the invitation.

    The invitation lands in their inbox. Once they accept, they appear as Active in your team list.

  2. Choose a role

    Each invitation requires a role choice. The role determines what the person can access and manage.

    • Admin: full access to all business modules plus team management, billing, currency settings, approval configuration, and company profile editing.
    • Member: access to all day-to-day work such as creating requests, submitting bids, and managing catalog items, without access to billing, users, currency, or settings that affect the whole account.

    Most colleagues who do sourcing or bidding work should be Members. Admins are typically company owners or operations managers who also need to manage the account itself.

  3. Set platform access

    Platform access controls which side of VEXORS the person can use.

    • Both: buyer and supplier features. Admins are always set to Both.
    • Buyer: requests, bid evaluation, and supplier discovery.
    • Supplier: opportunities, bids, and catalog management.

    If your company operates on both sides, set most team members to Both. If a colleague only works on one side, restrict their access so they are not confused by irrelevant features.

Members on Grow and Scale plans can have customised permissions that adjust their access within the Member role. Admins always have full access.

Custom permissions for Members

Grow On Grow and Scale, you can customise what individual Members can do beyond the default Member template. Open the three-dot menu on a member's row and select Edit Permissions. A permission grid lets you set view access (off, own records, or all records) and individual actions for each module.

Members with customised permissions show a Customized badge on their row. Admins always have full access and their permissions cannot be customised.

Seats and limits

Your plan sets how many active team members your company can have. You can see your current seat usage on the Settings > Billing page under Seat Usage: it shows how many seats are in use and how many are available.

When you reach your seat limit, inviting a new member routes you to a seat purchase flow where you can add more seats to your current plan. Alternatively, upgrading to a higher plan increases your base seat count.

Pending invitations count as used seats. If you sent an invite that has not been accepted yet, that slot is reserved. You can cancel pending invitations from Settings > Users to free the seat.

Deactivating and reactivating members

To remove someone's access, open the three-dot menu on their row and select Deactivate. Their account is deactivated and the seat becomes available. Their activity history is preserved.

To bring them back later, find them in the Archived section of the Users page and select Reactivate. If you are at your seat limit, the reactivation flow routes through the seat purchase step.

What the supplier sees

When a new team member accepts their invitation on the supplier side, they immediately see the opportunities and bid history relevant to their platform access setting. They do not see internal notes or bid pricing from before they joined unless an Admin has given them all-records view access.
