Payment and invoices

Update your payment method, find your next billing date, and download invoices and AI credit receipts, all from Settings > Billing. Admins only.

Billing and payment are managed exclusively by Admins. If you are a Member and cannot see the Billing section of Settings, ask an Admin on your team. They have access to everything described in this guide.

Why this matters

Having clean billing records matters for expense approval, tax filings, and audits. VEXORS keeps every invoice and top-up receipt in one place and lets you download them as PDFs, so you are never hunting through email threads to find proof of payment.

Where to find billing

Go to Settings in the sidebar and select Billing. The page is divided into several sections: your current plan summary, seat usage, AI credit balance, your payment method, and invoice history.

Payment method

The Payment Method card on the Billing page shows the card or payment method currently on file, including the card brand, last four digits, and expiry date. Your next billing date is shown on the current plan card above it.

To update your payment method, select Update on the Payment Method card. A secure payment form opens where you can enter new card details. Your old card is replaced once you save.

Update your payment method before your renewal date if your current card is about to expire. If a renewal charge fails, your account enters a grace period and you will receive an email prompt to update.

Invoices

All subscription invoices are listed in the Invoice History section at the bottom of the Billing page. The list shows the billing period, date, amount, and status for each invoice.

  1. Find the invoice you need

    Scroll to the Invoice History section of the Billing page. Use the search box to find a specific period, or use the status filter to show only Paid or Open invoices. You can also sort by date, period, or amount.

  2. Download the PDF

    Select the download icon on the row for the invoice you need. The PDF opens in a new tab and you can save it from there. If the download icon is greyed out, the PDF is not yet available for that invoice (this is rare and usually resolves within minutes of payment).

AI credit top-up receipts

When you buy a credit top-up, it appears in your billing history alongside your subscription invoices. Top-up charges use the same payment method as your subscription. You can download a PDF receipt for each top-up the same way you download a subscription invoice.

What different invoice lines mean

Some invoices have more than one line, particularly if you made plan changes, added seats, or switched billing cycles mid-period. These lines represent prorated credits and charges. The descriptions can be technical, so here is what the common ones mean:

  • Remaining time on new plan: the prorated charge for the time left in the period on your new plan after an upgrade.
  • Unused time on old plan: a credit for the time left in the period on your old plan, applied when you upgraded.
  • Seat addition: a prorated charge for seats added mid-period.

The net amount due is always the total after credits are applied. If you see a zero-amount invoice, it means a credit covered the full charge.

If you have a question about a specific charge that is not explained by the line descriptions, take a screenshot of the invoice and contact support. Include the invoice date and amount so the team can locate it quickly.
